By purchasing classes from pure balance pilates ltd you are agreeing to the terms and conditions below.

Pure Balance Pilates Ltd reserves the right to modify and change the terms and conditions set out below as required and without notice.

Missed Classes Or Clinic Appointments

As a studio membership feature, we offer unlimited access to our private video channel which has over 180 filmed sessions. This can be freely accessed by PB students to catch up on missed sessions but can also be used to undertake extra sessions at any time.​

Our free video membership feature will be advantageous to clients during holiday periods enabling continued practice during breaks away from the studio​. Missed studio sessions can also be caught up by requesting a catch up session via email to pilatescatchup@gmail.com.

At least 48 hours notice must be given in any circumstance in order to be eligible for a replacement class.​ Students who choose to attend a class for a catch up session are fully responsible for informing the teacher of any muscle, joint or skeletal issues that they have prior to the start of the session. Students will be responsible for ensuring that they choose the correct level of each exercise offered within that session.​

Catch up sessions will only be authorised to current paying clients who are registered for monthly direct debit and attending a regular weekly class.
No refunds will be offered for missed classes.

1:1 Cancellations

Private studio clients (1:1 or 1:2 sessions) must give at least 24 hours’ notice of class cancellations in every circumstance. Failure to give the required 24 hours’ notice will result in the session being fully charged to the client. We do make exceptions at our discretion for last minute absences due to illness and emergencies.

Mainstream class cancellations

Monthly rolling memberships can be cancelled by emailing us at purebalancepilates@gmail.com.

You must provide one calendar months notice prior to your next payment date for cancellations. All monthly recurring payments must run for a minimum of two months before you can cancel.

Monthly direct debit fees must be paid irrespective of attendance/ non attendance at your class(es). Membership must be paid irrespective of whether or not the student has attended their class(es). Memberships are non refundable and non transferable after the initial 14 day cooling off period in line with the Consumer Contract Regulations (2014).

Clinic appointment and postural assessment cancellations

Cancellations by pure balance pilates

We reserve the right to cancel a class, treatment, postural assessment or 1:1 session without notice if for some reason the studio or clinic room environment is unsuitable for the class, assessment or treatment to be provided, or if the teacher or therapist is unwell.

We will ensure that any treatments or assessments are rescheduled within 48 hours and that a full refund is given in the case of a cancelled class. No charge will be made to the client for a 1:1 session that has been cancelled by Pure Balance Pilates

Pilates class fees
Monthly direct debit agreement

Upon joining a mainstream class students will be invited to agree to a monthly recurring payment for their class via our chosen provider, GoCardless.

Class fees are then payable on the 1st of each month via direct debit. If students join a mainstream class part way though a month, a single invoice will be charged to cover the remainder of that month, in addition to a recurring monthly invoice to commence on the 1st of the following month.

Postural Assessment Fees

Postural assessment fees are invoiced prior to your appointment and are payable at least 24 hours prior to your agreed assessment date.

Adverse weather

For the safety of all students we will cancel Pilates classes in the event of adverse weather where driving conditions are unsuitable for safe travel to the studio. We will contact those students whose classes are affected via text message or email at our earliest opportunity. You may access our members only video channel in place of any cancelled session(s). In addition, you can also request a catch up class at your convenience.
No refunds will be offered for sessions cancelled due to adverse weather.

Personal items in the studio

In order to ensure that we maintain open space within the studio, we request that all personal belongings be left in your car whilst you undertake your class.

Socks

Socks must be worn in the studio at all times. This is for the safety of our clients, to help maintain cleanliness on the floors and to prevent the spread of any foot infections.

Cleaning of studio equipment after your class

It is a requirement of class attendance that each student must clean any studio equipment they have used using our antibacterial spray and a single use cloth

Hand sanitisation on entering the building

All students are advised to sanitise their hands on entry using the wall mounted touch free alcohol based hand sanitisation gel prior to staring classes and upon exit from the studio.

Student illness

No refunds are given for student absences. Students will be invited to take a catch up class using the Pure Balance video channel...

New teachers joining our team!

In order to continue to grow the studio and meet the need for safe and effective physiotherapy led Pilates classes, we invite suitably qualified and experienced Pilates teachers to join our team.

As part of their induction process, new teachers joining the PBP team will be required to observe a selection of our classes. They will also be required to teach a session whilst being observed and assessed by a PBP instructor.

You will receive an email prior to any session that will be observed by a new team member, or if the new team member has been asked to teach your session.

The new teacher will have had a thorough handover to ensure that they are fully aware of all students postural assessment recommendations prior to teaching your session. This ensures that they are able to plan a safe and effective exercises tailored to the requirements of student members

Photos

By signing agreement to our terms and conditions, clients agree that from time to time Pure Balance Pilates staff may take videos or photos during class for use on social or marketing channels and that they are happy for Pure Balance Pilates to use these without additional written consent.

Pure Balance Privacy Policy

This Privacy Notice is provided to you by Pure Balance Pilates Ltd which is the data controller for your data. Data which we may hold about you will include names, addresses, phone numbers, email addresses, date of birth and GP names and addresses.​

Where you pay for classes or treatments we may also hold bank account details or payment card numbers.​

The personal data we hold may include sensitive or other special categories of personal data such as mental and physical health, details of injuries and medication/treatment received.

How we use sensitive personal data

We may process sensitive personal data including, as appropriate:

Information about your physical or mental health or condition in order to protect and assist you during classes or medical treatments and assessments.

These types of data are described in the GDPR as “Special categories of data” and require higher levels of protection. We need to have further justification for collecting, storing and using this type of personal data.​

We may process special categories of personal data in the following circumstances
      • With your explicit written consent.
      • Where we need to carry out our legal obligations.

      • To deliver Pilates classes, other exercise classes or medical treatment including to understand your needs to provide the          services that you request and to understand what we can do for you and inform you of other relevant services;

      • To carry out comprehensive safeguarding procedures in accordance with best safeguarding practice

Sharing your personal data

Pure Balance Health Clinic Ltd & Pure Balance Pilates Ltd will not share your information outside of the Pure Balance group of companies.

How long do we keep your personal data?

We will keep some records permanently if we are legally required to do so.  We may keep some other records for an extended period of time. For example, it is currently best practice to keep financial records for a minimum period of 8 years to support HMRC audits or provide tax information.  In general, we will endeavour to keep data only for as long as we need it.  This means that we will delete it when it is no longer needed.

Your rights and your personal data

You have the following rights with respect to your personal data:When exercising any of the rights listed below, in order to process your request, we may need to verify your identity for your security. In such cases we will need you to respond with proof of your identity before you can exercise these rights.

The right to access personal data we hold on you

At any point you can contact us to request the personal data we hold on you as well as why we have that personal data, who has access to the personal data and where we obtained the personal data from.  Once we have received your request we will respond within one month.

There are no fees or charges for the first request but additional requests for the same personal data or requests which are manifestly unfounded or excessive may be subject to an administrative fee.

The right to correct and update the personal data we hold on you

If the data we hold on you is out of date, incomplete or incorrect, you can inform us and your data will be updated.

The right to have your personal data erasedIf you feel that we should no longer be using your personal data or that we are unlawfully using your personal data, you can request that we erase the personal data we hold.

When we receive your request we will confirm whether the personal data has been deleted or the reason why it cannot be deleted (for example because we need it for to comply with a legal obligation).
